Job description

HeritageTech Archives is seeking a proactive Archiving and Records Specialist to lead our archival program. This role combines physical and digital preservation, metadata governance, and strategic records management to ensure long term accessibility and compliance across the organization.

You will manage accessioning, cataloging, and metadata workflows; oversee digitization projects; and collaborate with IT, legal, and facilities to safeguard heritage assets while enabling responsible access for stakeholders.

Responsibility

  • Develop and implement archival policies, retention schedules, and access controls for both digital and physical collections.
  • Oversee accessioning, cataloging, metadata creation, and taxonomy development using standards such as Dublin Core and PREMIS.
  • Lead digitization, born digital preservation, and format migration to ensure long term accessibility.
  • Collaborate with IT, legal, and compliance teams to maintain regulatory compliance and privacy protections (e.g., PII handling).
  • Manage physical storage, conservation planning, and disaster recovery planning for archival assets.
  • Coordinate with cross functional teams to provide controlled access, reference services, and user training on archival tools and policies.
  • Monitor and improve archival workflows, quality control, and repository performance using systems like ArchivesSpace or DSpace.

Qualification

  • Bachelor's degree in Library Science, Archives Management, Information Governance, or a related field; Master preferred.
  • 3+ years of professional experience in archives, records management, or digital preservation.
  • Experience with archival information systems (ArchivesSpace, DSpace) and metadata standards (Dublin Core, PREMIS, METS).
  • Strong knowledge of digitization workflows, preservation formats, and Born-Digital preservation.
  • Understanding of retention policies, privacy regulations, and compliance requirements.
  • Excellent project management, organizational, and communication skills; ability to manage multiple projects and stakeholders.
  • Detail oriented with analytical thinking, problem solving, and collaborative mindset.
  • Strong written and verbal communication skills and commitment to access and inclusion.
