Private Advertiser is seeking a dedicated Administrative Support professional to join the Security Department on a contract basis in Balikpapan Barat, Kalimantan Timur. This role is designed for individuals who excel at administrative tasks, coordinating with internal teams and external partners, and maintaining clear, professional communication to support security operations. In this position, you will provide essential administrative support to the Security Department, including document management, filing, data entry, and calendar coordination. You will serve as a liaison between vendors, contractors, and internal users to ensure timely follow-up and accurate information flow. Your attention to detail and commitment to confidentiality will help uphold security standards and operational efficiency across multiple sites and programs.

Responsibility
- Provide comprehensive administrative support to the Security Department, including document management, filing, records control, and correspondence tracking.
- Coordinate scheduling, meetings, and communications between security personnel, internal teams, and external partners/vendors to ensure timely actions.
- Prepare security-related reports, memos, and briefing materials with accuracy and attention to detail.
- Maintain secure and confidential handling of sensitive information and records, following company policies and data protection practices.
- Assist with visitor management, access control coordination, and coordination of security-related onboarding tasks for new staff or contractors.
- Monitor and organize administrative workflows, ensuring data entry accuracy and timely filing in both physical and digital systems.
- Support incident reporting and follow-up activities, coordinating with relevant stakeholders to track action items and outcomes.
- Collaborate with facilities and operations teams to support safety procedures, emergency drills, and site communications.
Qualification
- High school diploma or equivalent; bachelor's degree preferred in administration, security, or related field.
- Minimum 1-2 years of administrative support experience; experience in security or facility management is a plus.
- Strong organizational skills with meticulous attention to detail and accuracy.
- Excellent written and verbal communication in Bahasa Indonesia; proficiency in English is advantageous.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and basic office software; experience with document management systems is a plus.
- Ability to handle confidential information with discretion and professionalism.
- Problem-solving mindset, ability to manage multiple tasks, and strong time-management skills.
