Job description

Tri Dharma Protection is seeking a highly capable Executive & Personal Assistant to support the General Manager in both executive office and household operations. This full-time, on-site role is based in Jakarta Selatan and demands discretion, proactive problem-solving, and a service-oriented mindset. The right candidate will blend professional administrative skills with reliable household coordination to ensure seamless daily operations and privacy for the GM and family.

In this role, you will manage complex calendars, coordinate internal and external communications, and prepare briefing materials, reports, and presentations with impeccable accuracy. You will plan and arrange domestic and international travel, accommodations, itineraries, and visa requirements, while tracking expenses and managing budgets for both office and household activities. You will oversee day-to-day office functions, supervise or coordinate with household staff and vendors, and collaborate with security teams to maintain a safe, efficient, and discreet environment.

Responsibility

  • Manage the General Manager's calendar, meetings, and travel arrangements to optimize productivity and time management.
  • Coordinate internal communications, prepare briefing materials, and draft correspondence with a high level of discretion.
  • Plan and arrange domestic and international travel itineraries, accommodations, and visas as needed.
  • Prepare reports, presentations, and documents for meetings, ensuring accuracy and confidentiality.
  • Oversee day-to-day office operations and coordinate household staff and third-party vendors to sustain a safe, efficient environment.
  • Coordinate with security personnel for safety protocols and emergency procedures while maintaining privacy for the GM and family.
  • Track expenses, process reimbursements, and manage budgets for office and household activities.
  • Support personal tasks and errands as required, while upholding the highest standards of integrity and professionalism.

Qualification

  • 5+ years of experience as an Executive Assistant, Personal Assistant, or senior administrative role, preferably in corporate or high-net-worth household settings.
  • Excellent organizational skills with the ability to multitask across complex calendars and priorities.
  • Proficiency in Microsoft Office or Google Workspace (Docs, Sheets, Slides) and familiarity with expense management tools.
  • Excellent written and verbal communication in English and Indonesian; professional conduct and strong judgment.
  • Discretion, confidentiality, and high ethical standards in handling sensitive information.
  • Ability to manage both office and household coordination, including vendor management and staff supervision.
  • Detail-oriented, proactive, with strong problem-solving and decision-making abilities.
  • Willingness to be on-site in Jakarta and to support occasional after-hours tasks as needed; valid driving license may be preferred.
