Prestige Archival Solutions is seeking a meticulous Archival Specialist to manage and preserve physical and digital records. You will design and implement metadata schemas, digitization workflows, and retention schedules, ensuring compliance with data privacy and governance standards. This role blends library science and information governance, focusing on long-term access and integrity of assets.
As a key member of our information governance team, you will lead scalable archival practices, drive metadata standardization, and collaborate with stakeholders to ensure preservation of critical assets for generations to come.
Responsibility
- Develop and maintain archival metadata schemas (e.g., Dublin Core, MARC21) and implement controlled vocabularies to improve searchability.
- Design and manage digitization workflows, from capture to ingest, ensuring high-quality preservation and accessibility.
- Configure and operate archival management systems (e.g., ArchivesSpace) and oversee data migrations of legacy records.
- Establish and enforce retention schedules, access controls, and privacy-compliant workflows in alignment with governance policies.
- Lead records management projects, including appraisal, disposition planning, and disposition documentation.
- Coordinate with curators, IT, and legal teams to ensure authenticity, integrity, and chain of custody of archival assets.
- Develop user-centric finding aids, discovering tools, and metadata-rich discovery interfaces for researchers.
- Provide training and support to staff on archiving best practices and system usage.
Qualification
- Master's degree or advanced qualification in Library Science, Archives Administration, Records Management, or a related field.
- 2-5 years of hands-on experience with archival workflows, metadata standards, and digitization.
- Proficiency with archival management systems (e.g., ArchivesSpace) and metadata schemas (Dublin Core, MARC, EAD).
- Strong understanding of information governance, data privacy regulations, and retention scheduling.
- Experience with digitization equipment, OCR workflows, and quality control for digital assets.
- Excellent organizational, project-management, and collaboration skills with a proven ability to meet deadlines.
- Sharp analytical thinker with meticulous attention to detail and a commitment to asset integrity.
- Excellent written and verbal communication, and the ability to convey complex archiving concepts to non-specialists.
