Job description

We are seeking an experienced Archiving Specialist to lead our organization\u2019s archival program across physical and digital collections. This role combines metadata-driven preservation with proactive records management to ensure enduring access and compliance.

You will collaborate with IT, Legal, and business units to design scalable archival workflows, implement preservation strategies, and optimize access for stakeholders.

Responsibility

  • Develop, implement, and maintain archival policies, retention schedules, and disposal processes in accordance with regulatory requirements.
  • Digitize and preserve physical archives; manage digitization workflows, OCR, and metadata creation.
  • Catalog and describe records using standard metadata schemas (Dublin Core, PREMIS, METS) and create robust taxonomies.
  • Manage digital asset management systems and repository ingests, storage, backups, and disaster recovery planning.
  • Collaborate with IT, legal, and business units to fulfill access requests while safeguarding privacy and compliance.
  • Conduct regular archives audits, quality assurance checks, and data integrity verification.
  • Provide training and guidance to staff on archival workflows, metadata practices, and preservation standards.

Qualification

  • Bachelor’s degree in Library Science, Archives, Information Science, or a related field; Master’s preferred.
  • 3+ years of professional archiving or records management experience, preferably in a hybrid physical/digital environment.
  • Hands-on experience with digital preservation workflows and repository systems (e.g., Archivematica, Islandora, CONTENTdm, or equivalent).
  • Strong knowledge of metadata standards (Dublin Core, PREMIS, METS/MODS) and taxonomy design.
  • Experience with digitization workflows, OCR, QA/QC, and metadata creation.
  • Excellent organizational, project management, and communication skills; ability to manage multiple priorities.
  • Understanding of information governance, privacy regulations, and retention compliance; proactive risk assessment.
  • Relevant certifications (RIA, SAA, or C-NAM) are a plus.
