You will be the friendly first point of contact, manage patient intake, verify eligibility where required, schedule appointments, and coordinate information flow among clinicians, administrators, and patients. You will also assist with chart management, medical records, and ensure compliance with data privacy and clinic protocols to protect patient information. A meticulous, organized approach is essential as you balance multiple tasks in a fast-paced clinic environment.

Responsibility
- Greet patients and staff warmly, verify patient details, and manage the front desk workflow to minimize wait times.
- Coordinate appointment scheduling, pathway planning, and follow-up communications to ensure timely care.
- Assist clinicians with room preparation, consent forms, and basic administrative tasks to support clinic efficiency.
- Maintain accurate and up-to-date patient records, including intake forms, referrals, and medical documentation (PDPA-compliant).
- Communicate with patients, families, and healthcare providers to clarify treatment plans and next steps.
- Monitor inventory of clinical supplies and coordinate with vendors as needed.
- Support case coordination by tracking patient progress and ensuring timely information transfer between departments.
Qualification
- Diploma in Healthcare Administration, Medical Office Administration, or an equivalent qualification.
- 1-2 years of experience in a clinic, healthcare, or medical administration setting.
- Proficiency with electronic medical records systems and appointment scheduling software.
- Excellent written and verbal communication skills in English; ability to interact empathetically with diverse patients.
- Strong organizational and multitasking abilities with keen attention to detail.
- Patient-centric mindset, problem-solving skills, and a proactive approach to service delivery.
- Ability to work full-time in a fast-paced clinic environment; flexibility to support occasional after-hours or weekend shifts if required.
