Join the Philippine Rugby Football Union Inc (PRFU), a rising national sports organization dedicated to developing rugby across the Philippines. We are looking for an Admin Officer in Pasig City, Metro Manila who will be the backbone of our day-to-day operations, ensuring smooth administrative processes that enable coaches, athletes, and staff to focus on performance and growth.

As an Admin Officer, you will manage essential office functions, maintain accurate records, coordinate calendars, and handle correspondence with internal teams, partner organizations, and event stakeholders. Your responsibilities will include supporting procurement and vendor relations, maintaining orderly filing systems (digital and physical), assisting with HR onboarding and staff welfare activities, coordinating travel and expense reporting, and helping to organize rugby programs, trainings, matches, and community outreach events. You will also help prepare reports, analyze data, and identify process improvements to keep our operations lean and compliant with policies.

The ideal candidate is highly organized, detail-oriented, and proactive, with strong communication and customer-service skills. Responsibility

  • Coordinate and maintain calendars for executives and teams; schedule meetings and reserve spaces; manage reminders and follow-ups.
  • Handle front-line administrative tasks including answering inquiries, processing documents, and managing correspondence.
  • Maintain organized filing systems (physical and digital), ensuring accurate records, data privacy, and easy retrieval.
  • Support procurement activities: vendor liaison, purchase orders, invoicing, and supplier onboarding with attention to budget and approvals.
  • Assist human resources onboarding, staff welfare programs, timesheet records, and employee communications.
  • Coordinate travel arrangements and prepare expense reports for staff and visiting guests.
  • Support event logistics for rugby programs, matches, trainings, and community outreach events (venue coordination, equipment, catering, and registrations).
  • Prepare regular reports and contribute to operations analytics and process improvements.

Qualification

  • Bachelor's degree in business administration, management, or related field; or equivalent work experience in an administrative role.
  • 1-3 years of experience in administration, office support, or operations.
  • Strong written and verbal communication skills; professional and collaborative demeanor.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace; ability to learn new tools quickly.
