You will be a trusted partner to the Director, helping to translate strategic priorities into actionable, well-organized plans while maintaining the highest standards of confidentiality and professionalism, and you will learn how to balance competing priorities in a fast-paced investment environment.

As a key point of contact for internal teams and external partners, you will manage the Director's calendar, coordinate complex travel, prepare briefing materials and presentations, and anticipate needs to keep initiatives on track. The role also involves supporting project coordination, vendor management, and light administrative duties that enable efficient decision-making and execution. Strong communication, meticulous attention to detail, and a proactive, can-do attitude are essential to thrive in this role. You will be exposed to confidential negotiations, board materials, and risk assessment documentation as part of your day-to-day responsibilities.

Responsibility

  • Manage the Director's calendar, prioritize commitments, and coordinate complex travel arrangements.
  • Prepare, edit, and format briefing notes, reports, and presentations for internal and external meetings.
  • Screen calls and emails, handle confidential information, and respond on behalf of the Director when appropriate.
  • Coordinate cross-functional meetings, agendas, minutes, and follow-up actions with internal teams and external partners.
  • Support HR, legal advisory, and compliance-related tasks, including onboarding and documentation tracking.
  • Assist with special projects, events, and executive-level communications, ensuring timely delivery and stakeholder alignment.
  • Support operations, vendor management, budgeting support, and procurement processes as needed.

Qualification

  • Bachelor's degree or equivalent experience in business, administration or related field.
  • 2+ years as an executive assistant, personal assistant, or similar role supporting senior leaders.
  • Excellent written and verbal communication, and strong interpersonal skills.
  • Proficiency in MS Office and Google Workspace; strong calendar management and travel planning abilities.
  • Discretion, integrity, and ability to handle confidential information with professionalism.
  • Highly organized, proactive, with strong problem-solving and time-management skills.
  • Ability to work independently and collaboratively in a fast-paced, deadline-driven environment.
