Job description
Take a pivotal role in NTUC LearningHubâs classroom operations as the Executive, Classroom Planning and Scheduling. In this position, you will align training programs with available facilities, instructors, and support staff to deliver a seamless learning experience for our diverse learner community in Singapore.
With a data-driven mindset, you will master course calendars, enrollments, and resource utilization; translate insights into efficient schedules and actionable reports for program managers and senior leadership. Your collaboration with stakeholdersâfacilitators, operations teams, and campus partnersâwill ensure that every class has the right space, equipment, and timing to maximize learner outcomes.
As the owner of the classroom planning process, you will lead scheduling for instructor-led courses, labs, and workshops, balancing learner demand with facility availability. You will manage last-minute changes with grace, promptly communicating updates to participants and staff.
In addition, you will produce regular dashboards and management reports that track utilization, attendance, and outcomes, and you'll present findings to improve capacity planning, staffing, and procurement decisions. You will also train and onboard new team members on scheduling standards and tools.

Responsibility
- Lead end-to-end classroom planning and scheduling for NTUC LearningHubâs programs, ensuring optimal use of facilities, equipment, and instructor availability.
- Coordinate calendars with instructors, facilities, and support teams; manage changes, cancellations, and communications with participants and staff.
- Maintain and analyze data on course offerings, enrollments, room occupancy, and attendance; generate actionable reports for program leadership.
- Collaborate with program managers to align course capacity, learning paths, and resource requirements; forecast demand and adjust plans accordingly.
- Ensure compliance with internal policies and external regulations; uphold service quality and safety standards for all classrooms.
- Identify and implement process improvements to streamline scheduling workflows, reduce conflicts, and improve learner experience.
- Support participant communications, onboarding, and logistical aspects for smooth class experiences; respond to inquiries promptly.
Qualification
- Bachelor's degree in Education Administration, Business, Operations, or a related field; or equivalent professional experience.
- 3+ years of experience in classroom scheduling, operations, or training program administration.
- Proficiency with scheduling software and data analysis tools (Excel, BI dashboards, ERP).
- Strong stakeholder management, communication, and collaboration skills; ability to influence cross-functional teams.
- Excellent organizational skills, attention to detail, and time-management abilities.
- Ability to thrive in a fast-paced environment with shifting priorities; proactive problem-solving mindset.
- Knowledge of Singapore's education and training landscape, compliance standards, and quality assurance practices is a plus.
