Private Advertiser is seeking a detail-oriented Administrator, Broking to join our dynamic team in the East Region of Singapore. This full-time role provides a full spectrum of administrative support to the broking team, ensuring accurate documentation, timely trade processing, and proactive client service. You will be the backbone of brokerage operations, coordinating across trading, operations, and compliance to keep client workflows running smoothly.

In this position, you will be responsible for managing trade-related paperwork, maintaining up-to-date client records, and supporting onboarding activities for new and existing clients. A strong emphasis on data accuracy, privacy, and regulatory compliance will be essential as you help the team deliver reliable, professional services in a fast-paced environment. Responsibility

  • Provide comprehensive administrative support to the broking team, ensuring timely processing of trade-related documentation and client requests.
  • Prepare, verify, and process trade confirmations, contract notes, and other brokerage documents with accuracy.
  • Manage client onboarding and KYC documentation in line with internal policies and regulatory requirements.
  • Maintain and organize records in the CRM and filing systems; ensure data integrity and easy retrieval.
  • Coordinate calendars, meetings, and communications across internal teams (trading, operations, compliance) to support smooth operations.
  • Assist with reporting, reconciliation, and ad-hoc analysis; help generate weekly/monthly activity and performance reports.
  • Respond to internal and external inquiries with professionalism; act as a liaison between clients and broking associates.
  • Support compliance processes by flagging anomalies and ensuring documentation is complete and up-to-date.

Qualification

  • Diploma or degree in business, finance, or related field.
  • Prior experience in financial services, broking, or securities administration preferred.
  • Proficiency in MS Office (Excel, Word, Outlook) and familiarity with CRM systems and document management tools.
