We are seeking a meticulous Archiving Specialist to join our Records Management team in Boston. You will lead the organization, preservation, and access of physical and digital records in accordance with policy and industry standards. The ideal candidate blends practical archival skills with modern information governance to ensure compliance, discoverability, and long-term preservation of critical knowledge.
In this role, you will partner with IT, Legal, and Operations to implement scalable archival workflows, establish metadata standards, oversee digitization projects, and support access requests while preserving integrity across systems.
Responsibility
- Ingest, classify, and arrange physical and digital records according to established accessioning procedures and retention schedules.
- Design and implement metadata schemas and controlled vocabularies to enhance searchability and interoperability.
- Lead digitization projects, ensure quality control, and manage digital preservation workflows across platforms.
- Oversee the lifecycle management of archival assets, including preservation planning, backup, and disaster recovery.
- Collaborate with IT and vendors to migrate data, integrate repositories (DMS/ADM), and ensure secure access controls.
- Provide access and reference services to internal teams and approved external researchers while upholding privacy and confidentiality.
- Develop and enforce archival policies, training materials, and standard operating procedures.
- Monitor compliance with legal and regulatory requirements related to records management.
Qualification
- Bachelor’s degree in Library Science, Archival Studies, Information Management, or a related field; master’s preferred.
- 2+ years of professional experience in archives, records management, or digital preservation.
- Strong knowledge of archival standards (ISAD(G), AACR2/2RDA, Dublin Core, METS/XML) and metadata schemas.
- Experience with digitization workflows, OCR, and image quality assurance.
- Proficiency with digital repository platforms (e.g., DSpace, Archivematica, SharePoint) and basic scripting for data handling.
- Excellent organizational, analytical, and communication skills; ability to work across cross-functional teams.
