PHINMA Properties is seeking a detail-oriented Billing and Data File Assistant to join our dynamic Admin and Operations team in Mandaluyong City. This role supports the Data and File Junior Officer in accurate and timely encoding, processing, and management of billing data, client files, and internal records. You will contribute to a high standard of data integrity, efficient workflows, and reliable reporting that informs decision-making and ensures customer satisfaction. Responsibility
- Assist the Data and File Junior Officer in encoding and processing billing data and client records to ensure accuracy and timeliness.
- Manage and maintain digital filing systems and physical archives, organizing by project, date, and client.
- Verify data integrity by cross-checking entries against source documents, correcting discrepancies, and escalating issues as needed.
- Prepare and reconcile monthly data reports, billing summaries, and supporting documents for internal teams and external stakeholders.
- Collaborate with finance, operations, and sales teams to ensure consistent data across systems and departments.
- Handle confidential information with discretion, upholding data privacy standards and compliance requirements.
- Provide backup support for invoicing and payment processing as needed.
Qualification
- High school diploma or bachelor’s degree; or equivalent experience in administration, data entry, or records management.
- 1-3 years of experience in data entry, billing, or admin support preferred.
- Excellent typing speed and accuracy; proficient in MS Office (Excel, Word) and data entry tools.
- Strong attention to detail, organizational and time-management skills.
- Ability to work independently and collaboratively in a fast-paced environment; strong problem-solving skills.
- Good written and verbal communication; ability to handle sensitive information with discretion.
- Familiar with Philippines data privacy guidelines and basic invoicing/billing concepts; knowledge of ERP systems is a plus.
