As our Document Controller, you will be the guardian of critical project records. You will manage document intake, maintain the document register, ensure version control, and support project teams with timely, accurate information. Your attention to detail will help us maintain compliance with internal policies and regulatory requirements, while your organizational skills will keep our project documentation organized, searchable, and readily auditable.
Key responsibilities include coordinating with project managers, site personnel, and suppliers to collect, review, and file documents; processing correspondence, submittals, drawings, contracts, certificates, and change orders; scanning, archiving, and preserving both digital and hard copy records; and generating status reports that reflect document approval cycles and outstanding items. You will also assist with audits, ensure retention policies are followed, and support onboarding and training for new staff on our document control standards.

Responsibility
- Manage and organize project documentation, contracts, approvals, and change orders.
- Maintain the document register with accurate version control and status tracking.
- Coordinate with project managers, site personnel, and suppliers to collect, review, and file required documents.
- Process submittals, drawings, certificates, and correspondence in a timely, compliant manner.
- Scan, archive, and preserve both digital and hard copy records; ensure secure access and retention per policy.
- Generate regular status reports on document workflow, approvals, and overdue items for project teams and audits.
- Assist with internal and external audits, ensuring documentation is complete and readily retrievable.
- Provide onboarding and training support on document control procedures to new staff.
Qualification
- Bachelor's degree in administration, engineering, or a related field; or equivalent professional experience.
- Proven experience as a document controller or in a similar administrative role within construction or engineering sectors.
- Strong proficiency with MS Office suite and document management systems; experience with PDF tools and scan-to-digital workflows.
- Excellent organizational and time-management skills with meticulous attention to detail.
- Effective communication and coordination abilities; able to manage multiple priorities in a fast-paced environment.
- Knowledge of document control procedures, retention policies, and regulatory compliance.
- Ability to work in Taguig City and adapt to site-office requirements; willingness to undergo training and process improvements.
