We are seeking a highly organized and proactive Event Executive to support the end-to-end planning and execution of events. This role at Nirvana Life in Bali offers hands-on experience across a variety of live experiences, from concept development to on-site delivery.
Based in Badung, Bali, the successful candidate will collaborate with cross-functional teams, vendors, venues, and clients to ensure every detail aligns with brand standards and business goals. You will own each event’s lifecycle, from brief through execution and post-event review.
Key responsibilities include developing timelines and budgets, coordinating logistics, negotiating with suppliers, and ensuring a flawless guest experience. On event days, you will supervise setup, run-of-show, and post-event wrap-up while maintaining safety and quality standards. The role demands problem-solving, exceptional communication, and the ability to manage multiple projects under tight deadlines.

Responsibility
- Lead end-to-end event planning from concept to execution, ensuring alignment with brand strategy and objectives.
- Develop detailed project timelines, budgets, and resource plans; monitor progress and adjust as needed.
- Source, negotiate, and manage vendors, venues, caterers, and production partners to secure the best value and quality.
- Coordinate logistics for on-site events, including site visits, layouts, staging, AV, catering, staffing, and attendee experience.
- Serve as primary point of contact for clients and internal stakeholders; provide regular status updates and risk mitigation.
- Oversee on-site event execution, lead run-of-show, troubleshoot issues, and ensure safety and compliance.
- Collect post-event feedback, analyze results, and implement improvements for future events.
- Maintain strong relationships with vendors and partners to ensure service quality and contract compliance.
Qualification
- Bachelor’s degree in Marketing, Communications, Hospitality, Event Management, or a related field.
- 2-4+ years of hands-on experience in event planning or experiential marketing.
- Strong project management, organizational, and communication skills.
- Proven budget management and vendor negotiation experience.
- On-site coordination experience and the ability to adapt quickly under pressure.
- Proficiency with event management tools and Microsoft Office; familiarity with CRM systems is a plus.
- Fluent in English; Indonesian language skills are a plus.
- Customer-focused mindset with problem-solving abilities and a collaborative approach.
