Kalibesar Artha Perkasa is seeking an experienced Executive Assistant to the directors. Based in Jakarta, you will provide high level secretarial and administrative support to the leadership team, ensuring smooth daily operations and effective control of information and tasks. This role is ideal for a detail-oriented professional who thrives in a fast-paced environment and can manage multiple priorities with discretion and professionalism.
In this role, you will manage the directors' calendars, coordinate meetings and travel, prepare documents and reports, and oversee procurement and import related activities. You will also monitor accounts payable, track expenses, and maintain rigorous document control. The ideal candidate will be fluent in English, proficient in Excel and Microsoft Office, and have a proactive, hands-on approach to supporting strategic initiatives while safeguarding confidential information.

Responsibility
- Manage the executive directors' calendars, schedule meetings, and coordinate travel arrangements
- Prepare and circulate meeting agendas and minutes, track action items and follow up on deadlines
- Oversee document control, filing, and procurement activities including coordination with suppliers
- Monitor accounts payable, support budgeting and expense reporting, and ensure timely payments
- Handle confidential correspondence and provide professional secretarial support to the directors
- Coordinate internal and external communications, draft professional emails and reports in English
- Assist with procurement requests and vendor management; support import documentation where needed
- Support special projects and ad hoc tasks, demonstrating multitasking and proactive problem solving
Qualification
- Minimum 3 years of experience as a secretary, executive assistant, or similar role supporting directors
- Active English language proficiency; strong written and spoken communication
- Advanced proficiency in Excel and MS Office; experience with document management systems
- Outstanding organization, attention to detail, and ability to manage multiple priorities
- Discretion, integrity, and professional demeanor when handling confidential information
- Proactive, results driven, and comfortable working in a dynamic, fast paced environment
- Familiarity with procurement processes and vendor management; basic import/export documentation is a plus
- Bachelor's degree in Business, Administration or related field, or equivalent experience
