Private Advertiser is seeking a proactive and impeccably organized Executive Assistant to join our leadership team in Kuala Lumpur. In this role, you will directly support the Managing Director, enabling strategic initiatives, improving operational efficiency, and ensuring timely execution of critical tasks across the organization. As the right-hand partner to the MD, you will manage complex calendars, coordinate meetings and travel, prepare briefings and presentation materials, and act as a gateway to internal teams and external partners. You will filter communications, draft concise responses, and ensure that the MD's time is optimized for high-priority priorities. Your attention to detail and proactive approach will help drive decision-making and support the company's strategic objectives.

Responsibility
- Serve as the primary point of contact for the Managing Director, managing communications and scheduling across internal teams and external partners.
- Coordinate complex calendars, arrange meetings, agendas, and travel itineraries with attention to cost, time, and preference.
- Prepare accurate briefing notes, board materials, and presentations; compile reports and follow-up on action items.
- Screen, prioritize, and respond to emails and requests with a professional, timely approach; maintain confidentiality.
- Coordinate logistics for meetings, offsites, and events; manage venues, catering, and attendee communications.
- Support special projects and cross-functional initiatives; track milestones and deadlines.
- Manage expense reports, vendor communications, and procurement support as required.
- Provide general administrative support to ensure smooth day-to-day operations in a busy leadership environment.
Qualification
- Bachelor’s degree in Business Administration, Communications, or a related field.
- Proven experience as an Executive Assistant or similar role supporting C-suite or Managing Director.
- Strong organizational and time-management skills with the ability to multitask and meet deadlines.
- Excellent written and verbal communication in English; Malay language skills are a plus.
- Proficiency with Microsoft Office, Google Workspace, calendar management tools, and expense reporting.
- Demonstrated discretion, confidentiality, and professional judgment; proactive problem-solver.
- Ability to thrive in a fast-paced, dynamic environment and build strong relationships with stakeholders.
- Detail-oriented with a professional demeanor and high standard of accuracy.
