Responsibility
- Manage complex calendars, schedule meetings, and coordinate events for executives with a proactive approach.
- Coordinate travel arrangements, itineraries, and related expense reporting.
- Prepare and edit correspondence, reports, agendas, and internal communications with meticulous attention to detail.
- Organize, file, and maintain confidential documents and records in accordance with policy.
- Screen calls and emails, route inquiries, and respond on behalf of executives when appropriate.
- Coordinate internal and external meetings, including venue setup and conferencing tools.
- Support onboarding, office operations, and vendor management to ensure smooth day-to-day activity.
- Assist with special projects and ad hoc tasks to drive efficiency across the organization.
Qualification
- 2+ years of secretarial or administrative support experience, preferably supporting executives.
- Proficiency in MS Office (Outlook, Word, Excel, PowerPoint) and familiarity with Google Workspace.
- Excellent written and verbal communication, editing, and professional business etiquette.
- Strong organizational and time-management skills with the ability to manage multiple priorities.
- Discretion and confidentiality when handling sensitive information.
- Detail-oriented, proactive, and able to work independently as well as part of a team.
- Bachelor's degree preferred or equivalent professional experience.
