Join Apex Executive Partners as an Executive Secretary in New York City. You will be a trusted partner to our leadership team, delivering proactive administrative support in a fast paced environment. Responsibility
- Manage complex calendars, coordinate meetings, and organize internal and external schedules with precision.
- Arrange domestic and international travel, accommodations, itineraries, and consolidate expense reports.
- Prepare, edit, and format correspondence, reports, and presentations with a high degree of accuracy.
- Coordinate meeting logistics, take and distribute minutes, and follow up on action items.
- Handle confidential information with discretion; maintain organized electronic and physical filing systems.
- Support onboarding, procurement, vendor communications, and general office operations.
- Provide additional administrative support to leadership as needed to ensure smooth operations.
Qualification
- 3+ years of secretarial or administrative support experience; Bachelor's degree preferred.
- Proficiency with MS Office (Outlook, Word, Excel, PowerPoint); experience with G Suite is a plus.
- Strong written and verbal communication; professional demeanor and excellent interpersonal skills.
- Exceptional organizational and time-management abilities; ability to multitask and prioritize.
- High level of discretion and confidentiality; demonstrated ability to handle sensitive information.
- Detail-oriented with strong proofreading and data-entry accuracy; typing speed 60 wpm+.
- Ability to work independently and as part of a team; proactive problem solver.
