Job description

Advancecon Group, a leading G7 contractor delivering civil and earthworks nationwide, is seeking a motivated Project Administration Assistant to join our Kulai, Johor site. This contract-focused role supports site HR and administration, ensuring accurate records, compliance, and smooth manpower coordination to keep civil projects on track. You will work closely with site managers, supervisors, and Corporate HR to deliver reliable administrative service in a fast-paced construction environment.

As a critical link between on-site operations and corporate HR, you will help coordinate manpower deployment, inductions, attendance, and roster management while maintaining confidential personnel files and essential compliance documentation. You will assist with leave and overtime tracking, timesheet processing, and payroll coordination, ensuring timely reporting and data accuracy for project leaders. The role emphasizes problem-solving, meticulous attention to detail, and a customer service mindset when supporting site teams.

Responsibility

  • Monitor and maintain site personnel records and document control.
  • Coordinate inductions, attendance tracking, timesheets, leave, and overtime for on-site staff.
  • Support onboarding, manpower deployment, and roster management for civil projects, ensuring compliance with site procedures.
  • Assist payroll coordination and HR data entry into HRIS.
  • Ensure safety documentation, permits-to-work, toolbox talks, and compliance records are up to date.
  • Liaise with project managers and supervisors to fulfill HR administrative needs and reporting requirements.
  • Prepare regular HR and administration reports for site leadership and key stakeholders.

Qualification

  • Diploma or Certificate in Human Resources, Administration, or related field; or demonstrated experience in site HR/admin.
  • Prior experience in construction or on-site environment preferred.
  • Proficiency in Microsoft Office (Word, Excel) and familiarity with HRIS or payroll systems.
  • Strong organizational skills, attention to detail, and ability to handle confidential information.
  • Good communication in English and Malay; ability to interact with diverse teams.
  • Proactive, self-motivated, able to work independently and as part of a team; adaptable to changing priorities.
  • Willingness to work on-site in Kulai, Johor; preparedness for outdoor/industrial environment.
