Greenwoods Bali Graha is seeking a proactive Project Administrator to join our Administrative & Office Support team in Badung, Bali. This full-time role provides essential day-to-day operational support by maintaining documentation, monitoring project progress, and coordinating resources to help project teams stay on track and on budget. The ideal candidate is highly organized, detail-oriented, and capable of communicating clearly with internal teams and external partners to keep projects moving forward smoothly.
In this role you will become the backbone of project operations, ensuring accurate records, timely reporting, and a seamless workflow across multiple projects. You will collaborate with project managers, procurement, finance, and field teams to support planning, execution, and closeout. Responsibility
- Maintain and organize project documentation, including plans, schedules, budgets, meeting minutes, and correspondence.
- Monitor project progress, track milestones, update dashboards, and highlight risks or delays to stakeholders.
- Coordinate resourcesâstaff, vendors, and equipmentâensuring availability and proper allocation.
- Schedule and coordinate meetings, prepare agendas, and distribute minutes to internal teams and external partners.
- Support procurement activities, vendor communications, and timely processing of purchase orders and invoices.
- Assist with risk and issue tracking, logging mitigation actions, and escalating critical blockers as needed.
- Prepare periodic status reports for stakeholders and maintain a reliable repository of project records.
Qualification
- Bachelor's degree in Business Administration, Project Management, or a related field (or equivalent professional experience).
- Proven experience in project administration or office support within a fast-paced environment.
- Exceptional organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.
- Strong written and verbal communication skills in English; Indonesian language skills are a plus.
- Proficiency with MS Office (Excel, Word, PowerPoint) and familiarity with basic project management tools (e.g., Trello, Asana, MS Project).
- Ability to work independently and as part of a cross-functional team; proactive problem-solving mindset.
