Job description

DSV Global Transport and Logistics is seeking a proactive Project Assistant for DPIS (DSV Projects) to provide essential admin support at Jurong Island and Bukom. This on-site role acts as the control tower for end-to-end logistics operations, documentation, vendor coordination, and compliance. You will join a dynamic team delivering critical project support across multi-site operations in Singapore.

In this hands-on position, you will coordinate movement of materials, schedule shipments, track progress against milestones, and ensure accurate documentation and reporting. You will partner with operations staff, carriers, suppliers, and internal stakeholders to achieve on-time delivery and adherence to safety and quality standards.

Your responsibilities include managing inbound and outbound activities, processing packing lists and customs paperwork, maintaining audit trails, and supporting environmental and regulatory compliance. You will use our project systems to capture data, generate reports, and drive continuous improvement in processes and workflows.

Responsibility

  • Act as the on-site logistics coordination control tower for DPIS, monitoring end-to-end operations and ensuring on-time delivery.
  • Manage inbound and outbound shipments, scheduling, and site handovers to support project milestones.
  • Prepare, verify, and control essential documentation (packing lists, delivery notes, manifests, customs paperwork) with complete audit trails.
  • Coordinate with vendors, carriers, and internal teams; communicate changes, risks, and issues promptly.
  • Ensure compliance with safety, environmental, and quality standards; assist with risk assessments and incident reporting.
  • Track key performance indicators, generate daily/weekly reports, and support continuous improvement initiatives.
  • Provide general admin support: scheduling, meeting coordination, asset management, and data entry for project records.

Qualification

  • Diploma or degree in logistics, supply chain, business administration, or related field.
  • Minimum 1-3 years of experience in logistics coordination, site administration, or related roles.
  • Strong understanding of shipping documentation, incoterms, and regulatory compliance.
  • Proficiency in MS Office and ERP/TMS software; aptitude to learn new systems quickly.
  • Excellent communication, interpersonal skills, and ability to work with cross-functional teams.
  • On-site availability at Jurong Island/Bukom; able to operate in a fast-paced, safety-conscious environment.
  • Eligible to work in Singapore (PR or valid work permit); willingness to work overtime when required.
