Spacey Design is seeking a focused Purchasing Assistant to join our Procurement & Logistics Coordination team in Novaliches, Metro Manila. This role supports end-to-end purchasing activities to help maintain production continuity and on time material delivery. You will work closely with suppliers and internal teams to ensure accurate orders, efficient logistics, and compliant documentation.
As a key contributor to our procurement operations, you will process purchase orders, coordinate supplier communications, monitor delivery schedules, and track shipment progress from order placement to receipt. You will help compare supplier quotes, verify terms, and assist with cost optimization initiatives without compromising quality or delivery performance.
Your responsibilities also include maintaining accurate records, supporting inventory control, and ensuring goods are received in a timely manner by coordinating with warehouse staff and production teams. You will contribute to supplier performance reviews and maintain up to date files for audits and compliance. This role provides an excellent platform to develop procurement and logistics skills within a creative design company.

In this role you will also participate in data entry, reporting, and supporting procurement-related process improvements. You'll collaborate with finance for PO accuracy and payment terms, support vendor onboarding, and help maintain supplier master data. Daily tasks include checking delivery notes, resolving discrepancies, and ensuring compliance with company policies and local regulations. You will contribute to a positive supplier relationship by maintaining timely and professional communication and by escalating issues when necessary. The position offers hands on experience in a fast paced manufacturing or production environment and exposure to global sourcing practices.
Responsibility
- Process purchase orders (POs) accurately and in a timely manner to ensure material availability for production
- Coordinate with suppliers and vendors to confirm order details, lead times, and delivery schedules
- Monitor shipment status, track on time deliveries, and expedite where necessary to prevent production delays
- Maintain supplier performance data and assist with vendor selection, qualification, and onboarding
- Support inventory management by coordinating with the warehouse and production teams to reconcile stock levels
- Maintain documentation and records for audits, including contracts, POs, delivery notes, and supplier agreements
- Collaborate with cross functional teams such as production, finance, and quality to forecast needs and optimize costs
- Assist in identifying cost saving opportunities by requesting quotes, comparing terms, and negotiating favorable conditions
Qualification
- Bachelor's degree in Business, Supply Chain, Logistics, or related field; or equivalent work experience
- 1-2 years of experience in purchasing, procurement, or logistics coordination
- Knowledge of PO creation, supplier coordination, and basic contract terms
- Proficiency with MS Excel and at least one ERP or procurement system (e.g., SAP, Oracle, or similar)
- Strong communication, negotiation, and problem solving skills
- Detail oriented with the ability to manage multiple orders and deadlines
- Ability to work collaboratively with internal teams and external suppliers
- Willingness to learn and adapt in a fast paced environment
