The successful candidate will represent our brand with a professional, positive demeanor and deliver timely, accurate support to clients and internal teams. Experience with GoHighLevel (GHL) is a must, enabling you to leverage CRM features for lead tracking, tasks, and client communications.
As a Receptionist VA, you will be the first point of contact for clients and partners, ensuring a smooth onboarding experience and seamless coordination across departments. You will collaborate with sales, operations, and customer success to schedule, route requests, and monitor progress. A proactive approach, strong writing and speaking skills, and a commitment to confidentiality are essential to success in this role.
Responsibility
- Answer and screen incoming calls, greet clients professionally, and route inquiries to the appropriate team member
- Manage client onboarding processes, collect required information, and ensure data accuracy in the CRM
- Coordinate dispatching of tasks and follow up on status to ensure timely completion
- Maintain and update client records in GoHighLevel, including lead status, notes, and schedules
- Schedule and calendar management for clients and internal teams, coordinating across time zones as needed
- Handle email, chat, and ticket inquiries with timely, clear communication
- Produce basic reports and maintain organized digital filing and documentation
Qualification
- Previous experience as a receptionist, virtual assistant, or similar customer-facing role
- Proficiency with GoHighLevel or similar CRM platforms; strong data entry accuracy
- Excellent verbal and written communication skills in English
- Outstanding organizational and time-management abilities; strong multitasking and prioritization
- Professional phone etiquette and customer service mindset
- High level of reliability, confidentiality, and attention to detail
- Ability to work independently in a remote setting with reliable internet and a quiet workspace
