Job description

Pantech Group Holdings Berhad is seeking a proactive and highly organized Executive Secretary to provide indispensable support to the Director in our Pasir Gudang office. This full-time role offers an exciting opportunity to work closely with senior leadership, streamline daily operations, and drive efficiency across the executive office.

In this role you will manage the director's calendar, screen and route communications, prepare confidential documents, and coordinate internal and external meetings. You will partner with cross-functional teams to ensure timely decision making and accurate reporting, while maintaining discretion and professionalism at all times.

Key responsibilities include calendar management, meeting coordination, travel arrangements, note taking, and the preparation of board materials and executive summaries. You will also oversee filing, records control, and document management, ensuring sensitive information remains secure. Responsibility

  • Manage the director's calendar, prioritize meetings, and optimize time for strategic activities.
  • Screen, filter, and respond to emails and phone calls on behalf of the director.
  • Prepare, format, and edit correspondence, reports, presentations, and confidential documents.
  • Coordinate meetings, travel arrangements, venue bookings, catering, and logistics; take accurate minutes and track action items.
  • Liaise with internal departments and external partners; support governance processes including board materials.
  • Maintain organized filing, records management, and document control; ensure data privacy and compliance.
  • Support special projects, research, data collection, and performance reporting; assist in ad hoc tasks as required.

Qualification

  • Diploma or degree in business administration, secretarial studies, or a related field.
  • Proven experience as a secretary or executive assistant, preferably supporting directors.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and cloud-based collaboration tools.
  • Excellent written and verbal communication in English; Malay language skills are a plus.
