Job description

MSIG is seeking a proactive Senior Administrative Officer to join our Marine Operations team in Singapore. This role provides strategic administrative support across marine underwriting, policy administration, and claims coordination, with opportunities to contribute to ad-hoc projects discussed at company-level committees. You will collaborate with underwriters, brokers, clients, and cross-functional teams to ensure data accuracy, timely reporting, and exceptional service quality for our marine clients.

In this role, you will be instrumental in keeping operations running smoothly while driving efficiency and compliance. You will manage complex calendars, coordinate internal and external meetings, prepare materials, and help document-critical decisions. You will also support document control, regulatory filings, and process improvements to streamline workflows across the Marine Operations function. Responsibility

  • Provide high-level administrative support to the Marine Operations team and participate in company-level committees for ad-hoc projects to improve and expand operations and business opportunities.
  • Coordinate cross-functional activities including policy administration, documentation control, claims support, and vendor/supplier management.
  • Manage calendars, coordinate meetings (internal and with clients/brokers), prepare agendas and materials, and take minutes as required.
  • Serve as a trusted liaison between underwriters, brokers, clients, and internal stakeholders to ensure timely communication and service excellence.
  • Maintain meticulous records, ensure data accuracy, and support regulatory/compliance filings and reporting requirements.
  • Assist in process improvement initiatives and project tracking, capturing action items and driving follow-up to closure.
  • Support budgeting, travel arrangements, and onboarding/offboarding activities for the Marine Operations team while upholding confidentiality and data security standards.

Qualification

  • Bachelor’s degree in business administration, finance, or a relevant field; or equivalent professional experience.
  • 5+ years of progressive administrative or operations experience, preferably in marine insurance, shipping, or related sectors.
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and collaboration tools; experience with ERP/CRM systems is a plus.
  • Excellent written and verbal communication, with professional business English and ability to interact with stakeholders at all levels.
  • Detail-oriented mindset with demonstrated integrity in handling confidential and sensitive information.
  • Knowledge of marine insurance workflows (policy administration, claims coordination) and willingness to learn regulatory requirements in Singapore.
