MSIG is seeking a proactive Senior Administrative Officer for Operations in the Marine division to support the growth and efficiency of our business in Singapore. In this role, you will provide high-level administrative leadership, coordinate cross-functional initiatives, and partake in company level committees to drive ad hoc projects that enhance operations and service delivery across marine lines of business. You will partner with leadership across finance, compliance, HR and operations to ensure streamlined processes, accurate reporting, and timely execution of key initiatives. Key responsibilities include supporting day-to-day marine operations administration, organizing governance and project management activities, preparing management reports and dashboards, and coordinating meetings and scheduling for senior stakeholders. You will manage documentation, ensure data integrity, and coordinate with internal teams and external vendors to drive efficient workflows. You will also monitor compliance with corporate policies and regulatory requirements, contribute to risk management efforts, and lead process improvement initiatives that reduce cycle times and improve quality of service.

Responsibility
- Coordinate and support marine operations administration to ensure accuracy and timely execution of tasks.
- Participate in company level committees for ad hoc projects to improve operations and expand business.
- Streamline administrative processes across departments including governance, documentation, and record-keeping.
- Prepare management reports, KPIs, and dashboards for leadership review.
- Manage calendars, meetings, travel arrangements, and stakeholder communications for senior management.
- Liaise with internal departments and external vendors to drive efficient workflows and timely deliverables.
- Monitor compliance with corporate policies and regulatory requirements; assist with audits and control activities.
- Lead or contribute to process improvement initiatives using basic project management skills and SOP development.
Qualification
- Bachelor's degree in business administration, operations, or related field.
- 5+ years of experience in administration or operations, preferably in marine, insurance, or professional services.
- Strong organizational, time management, and multitasking abilities with high attention to detail.
- Excellent written and verbal communication; ability to engage with stakeholders at all levels.
- Proficiency in Microsoft Office and familiarity with ERP/CRM tools.
- Knowledge of regulatory and compliance practices; ability to handle confidential information.
- Project coordination or basic project management experience; track record of driving process improvements.
