Responsibility
- Lead end-to-end event logistics for 20-2000 attendees, including site selection, venue management, staffing, and on-site operations.
- Develop and manage detailed project plans, timelines, risk registers, and contingency strategies.
- Own budgets from planning through reconciliation, tracking variances and optimizing cost without compromising quality.
- Coordinate with cross-functional teams (sales, marketing, production, operations) and external partners to ensure objective alignment.
- Source, negotiate with, and manage vendors (catering, AV, decor, transportation); ensure safety and regulatory compliance.
- Oversee on-site execution, including run-of-show, speaker management, registration, and post-event reporting.
- Build lasting client relationships, identify upsell opportunities, and contribute to post-event evaluation and knowledge capture.
Qualification
- 5+ years of experience in event management, with a track record delivering corporate, product, or large-scale events.
- Strong budgeting, forecasting, and financial reconciliation abilities.
- Proven vendor negotiation and contract management experience.
- Excellent stakeholder management and client-facing communication skills.
- Proficiency with event technology platforms (registration, CRM, attendee apps) and audio-visual coordination.
- Ability to lead cross-functional teams in fast-paced environments and travel as needed.
- Bachelor’s degree in Event Management, Marketing, Communications, or related field.
