Beacon Archives Group is a forward-thinking leader in records management and digital preservation. We help institutions protect information assets through modern archiving practices, metadata governance, and scalable preservation solutions. We are seeking an Archiving Specialist to join our Boston team and drive retention program development, taxonomy design, and both physical and digital repository operations.
As part of our Information Management group, you will collaborate with IT, legal, and compliance teams to implement best practices, ensure long-term accessibility of records, and maintain audit-ready documentation.
Responsibility
- Lead the design and implementation of retention schedules and filing policies for physical and digital archives.
- Administer digital preservation workflows, metadata schemas, and repository management.
- Oversee ingestion, classification, and indexing of records, ensuring consistent taxonomies and controlled vocabularies.
- Collaborate with IT and compliance teams to enforce information governance and security controls.
- Perform regular data quality checks, audits, and remediation of legacy records to ensure accuracy and accessibility.
- Develop and deliver training for staff on archiving processes, metadata standards, and retrieval procedures.
- Support disaster recovery planning and emergency access protocols for critical records.
- Coordinate with vendors and digitization services to convert physical records to preserve digital copies.
Qualification
- Bachelor's degree in Library Science, Information Management, History, or related field; master's preferred.
- 3-5 years of hands-on archiving, records management, or digital preservation experience.
- Strong knowledge of archival standards and metadata schemas (Dublin Core, METS/ALTO, MODS) and retention scheduling.
- Experience with repository and digitization workflows (e.g., ArchivesSpace, CONTENTdm, or similar).
- Familiarity with information governance, privacy, and legal holds; ability to implement audit-ready documentation.
- Excellent organizational, analytical, and problem-solving skills; attention to detail.
- Strong communication and collaboration abilities; ability to train staff and liaise with stakeholders.
- Proficiency with Microsoft 365, database queries, and basic scripting is a plus.
