Your day-to-day responsibilities include coordinating project schedules, tracking milestones, managing documentation, and maintaining up-to-date dashboards in Google Sheets or Excel. You will handle procurement-related tasks such as creating purchase orders, confirming deliveries, and liaising with vendors. You will also manage client communications, prepare progress reports, and ensure all project records are complete and accessible for audit and team review. The role requires attention to detail, consistency, and the ability to multitask across several landscaping and construction projects.

Responsibility
- Coordinate project schedules for landscaping and construction tasks, ensuring alignment with on-site crews and suppliers.
- Track milestones and update project dashboards using Google Sheets or Excel.
- Prepare and process procurement documents, including purchase orders and vendor communications.
- Manage client communications, provide regular progress updates, and respond to inquiries in a timely manner.
- Maintain comprehensive project records, files, and reports for audits and team reviews.
- Assist with invoicing, timesheets, and expense tracking to support smooth financial workflows.
- Coordinate site visits, scheduling, and material deliveries to minimize downtime and maximize productivity.
- Support data entry and quality control tasks to ensure accuracy across multiple landscaping projects.
Qualification
- Proven experience as a virtual assistant or administrative support, preferably in construction or landscaping.
- Strong organizational and time-management skills with the ability to multitask.
- Proficiency with Google Workspace (Docs, Sheets, Drive) and Microsoft Office.
- Excellent written and verbal communication in English.
- Attention to detail and accuracy in data entry and record-keeping.
- Ability to work independently in a remote environment with reliable internet access.
- Familiarity with CRM and project management tools (e.g., Trello, Asana, or similar).
- Knowledge of procurement, invoicing, and vendor management processes.
