Shadow Office Solutions, Inc. is seeking a motivated Contract Administrator to join our onsite team in Kawit, Cavite. This role focuses on managing contract documentation, CRM updates, and project milestones from expression of interest (EOI) through to settlement, ensuring accuracy, compliance, and timely delivery across construction initiatives.
As a Contract Administrator, you will collaborate with procurement, legal, and operations to maintain rigorous document control, track progress, and support risk management. You will be the primary administrator of contract records, ensuring proper versioning, secure storage, and audit-ready documentation. Your attention to detail and organizational skills will help keep contracts aligned with project milestones, budgets, and regulatory requirements.

Responsibility
- Manage end-to-end contract documentation from intake to settlement for construction projects.
- Maintain CRM updates with contract milestones, deadlines, and status.
- Coordinate with legal, procurement, and project management to secure timely approvals.
- Track EOI, bid documents, contract amendments, and change orders; ensure compliance with company policies.
- Liaise with vendors and subcontractors to gather required documents and verify accuracy.
- Prepare regular status reports, dashboards, and performance metrics for stakeholders.
- Ensure document control practices, including version control, secure storage, and audit trails.
- Support risk management and contract administration best practices to minimize exposures.
Qualification
- Bachelor's degree in business, law, engineering, or a related field.
- 2+ years of contract administration, document control, or construction administration experience.
- Solid understanding of contract lifecycle, EOI processes, milestones, and settlement procedures.
- Proficiency in CRM platforms, Microsoft Office (Excel, Word, PowerPoint), and document management systems.
- Strong attention to detail, exceptional organizational and time-management skills.
- Excellent communication and collaboration abilities; comfortable working onsite in Kawit, Cavite.
- Ability to multi-task, prioritize, and meet tight deadlines in a fast-paced environment.
