Arcadia Partners LLC, a leading advisory firm in New York City, seeks a polished and proactive Executive Secretarial Assistant to support senior leadership. This role requires discretion, superb organizational skills, and the ability to manage multiple priorities in a fast paced environment.
In this role you will coordinate calendars, arrange travel, prepare reports, handle correspondence, and ensure smooth day to day operations. You will work closely with multiple departments to maintain confidentiality and deliver high quality administrative support.

Responsibility
- Manage complex calendars for executives, including meeting scheduling, reminders, and prioritization.
- Coordinate domestic and international travel arrangements and prepare itineraries.
- Prepare, format, and proofsread documents, reports, and presentations.
- Screen and route phone calls, emails, and correspondence with professionalism and discretion.
- Organize meetings and events, including venue setup, materials, and follow up.
- Maintain filing systems and ensure accurate record keeping and data entry.
- Assist cross-functional teams with ad hoc administrative tasks and project support.
Qualification
- Bachelor's degree or equivalent administrative experience
- Minimum 2 years as a secretary or administrative assistant in a professional setting
- Exceptional organizational and time management abilities
- Proficient in MS Office and Google Workspace; keen eye for detail
- Excellent written and verbal communication skills
- Discretion, integrity, and ability to handle confidential information
- Strong interpersonal skills with a proactive, service-oriented mindset
- Experience with calendar management and travel coordination is a plus
