As the essential first point of contact, you will manage schedules, coordinate communications, and help ensure smooth daily operations across the organization.
Responsibility
- Manage executive calendars, coordinate meetings, and schedule complex travel itineraries with attention to detail
- Draft, format, and edit correspondence, reports, and presentations ensuring professional standard
- Coordinate internal and external meetings, conference rooms, video conferences, and attendee logistics
- Oversee document management, filing systems, and confidential records
- Serve as gatekeeper for emails and phone inquiries; triage and route appropriately
- Prepare meeting agendas, take minutes, and track action items
- Assist with expense reporting, travel expenses, and vendor communications
Qualification
- Minimum 3 years of secretarial or administrative experience supporting executives
- Excellent calendar and email management skills; adept at prioritization
- Strong written and verbal communication; professional demeanor
- Discretion and confidentiality in handling sensitive information
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and Google Workspace
- Superior organization, time management, and multitasking abilities
- Bachelor’s degree preferred or equivalent professional experience
- Ability to thrive in a fast-paced, collaborative environment
