At Aurora Partners, we are seeking a proactive Executive Secretarial Assistant to support senior leadership in a fast-paced, professional environment. This role blends traditional secretarial duties with high-impact administrative support, requiring discretion, superior organizational skills, and excellent communication.
As a key member of the operations team, you will help ensure smooth daily workflow, professional communications, and efficient travel and meeting logistics.
Responsibility
- Manage complex calendars and schedule meetings across multiple time zones with precision and proactive prioritization.
- Prepare, edit, and format correspondence, reports, and presentations to a professional standard.
- Screen inquiries, handle phone calls and emails, and route urgent matters to appropriate stakeholders.
- Coordinate travel arrangements, itineraries, visas if needed, and expense reporting with meticulous attention to detail.
- Plan, organize, and take effective meeting minutes; distribute agendas and follow-up actions.
- Maintain organized filing systems, confidential documents, records, and efficient document management processes.
- Provide general office support, coordinate vendor relationships, and assist with special projects as needed.
Qualification
- 3+ years of secretarial or executive assistant experience supporting C-suite or senior leaders.
- Exceptional calendar management and prioritization skills; ability to multitask and meet tight deadlines.
- Proficiency with MS Office, Google Workspace, and basic project management tools.
- Excellent written and verbal communication; professional demeanor and strong discretion.
- Strong organizational skills, attention to detail, and proactive problem-solving abilities.
- Bachelor's degree preferred; equivalent work experience considered.
- Ability to work independently and collaboratively in a fast-paced environment.
