We are seeking a proactive Executive Secretarial Assistant to support senior executives within a dynamic, client-focused environment. The ideal candidate blends professional discretion with exceptional organizational skills and a client-focused mindset. This role encompasses calendar management, travel coordination, correspondence drafting, and administrative support to ensure smooth daily operations.
As a key point of contact for internal teams and external partners, you will help elevate efficiency, accuracy, and responsiveness across the organization.
Responsibility
- Manage complex calendars, schedule meetings, and coordinate logistics across multiple time zones.
- Draft, format, and proofread correspondence, reports, and meeting materials.
- Coordinate travel arrangements, itineraries, and expense reporting for executives.
- Prepare meeting agendas, take minutes, and track action items.
- Maintain confidential files, records, and sensitive information with discretion.
- Serve as a liaison between executives, clients, and internal teams to ensure smooth communication.
- Support onboarding, office operations, and miscellaneous administrative tasks as needed.
- Utilize office software (MS Office, Google Workspace) to improve efficiency and accuracy.
Qualification
- Bachelor’s degree or equivalent administrative experience in a corporate environment.
- 5+ years of secretarial or executive assistant experience supporting C-suite or senior leaders.
- Advanced proficiency in MS Office (Word, Excel, PowerPoint) and Google Workspace; strong typing and data entry skills.
- Outstanding written and verbal communication, with a professional phone demeanor.
- Strong calendar management, travel coordination, and problem-solving abilities.
- Ability to handle confidential information with discretion and maintain high levels of professionalism.
- Exceptional organization, attention to detail, and ability to multitask in a fast-paced environment.
- Proactive, collaborative team player with strong interpersonal skills.
