In this position you will partner with executives to optimize workflows, maintain discretion, and ensure smooth day-to-day operations across teams and external partners.
You will be a trusted right-hand person, coordinating calendars, handling correspondence, and driving efficient office operations in a dynamic, mission-driven environment.
Responsibility
- Manage complex executive calendars, schedule meetings, coordinate internal and external engagements, and optimize time utilization.
- Prepare, edit, and format correspondence, reports, and presentations with a high level of accuracy and professionalism.
- Organize confidential filing systems (both electronic and physical) and maintain records with strict privacy standards.
- Coordinate meetings, events, and board materials, take minutes, and track action items and follow-ups.
- Screen calls and emails, triage inquiries, and respond on behalf of executives while maintaining professional tone.
- Handle travel arrangements, itinerary planning, and expense reporting with adherence to policy.
- Support onboarding, office operations, procurement, and vendor relationships to ensure seamless administrative support.
Qualification
- Minimum 5+ years of secretarial or executive support experience, preferably with C-suite executives.
- Strong calendar management, scheduling, and prioritization skills in a fast-paced environment.
- Proficiency in Microsoft Office 365 and Google Workspace; advanced PowerPoint and Excel; familiarity with CRM systems is a plus.
- Excellent written and verbal communication, high discretion, and professional demeanor.
- Detail-oriented, highly organized, and able to manage multiple priorities with minimal supervision.
- Experience coordinating domestic and international travel and completing accurate expense reports.
- Bachelor's degree or equivalent experience; professional certification in administration is a plus.
