Responsibility
- Greet visitors, answer phones and emails, and route inquiries to the appropriate teams to ensure a professional first impression.
- Coordinate calendars, schedule meetings, book rooms, and arrange travel for executives and teams.
- Prepare and file documents, draft correspondence, maintain records, and manage data entry with high accuracy.
- Oversee office supplies, equipment maintenance, and vendor relationships to keep operations seamless.
- Support onboarding/offboarding, HR administrative tasks, and basic payroll or expense reporting as needed.
- Assist with meeting logistics, event planning, and internal communications to boost team collaboration.
- Maintain a clean, organized, and compliant office environment, including safety and security procedures.
Qualification
- High school diploma required; bachelor’s degree in business or related field preferred.
- 2+ years of office administration or executive support experience in a professional setting.
- Proficiency with Microsoft 365 (Outlook, Word, Excel, SharePoint) and strong data-entry skills.
- Excellent written and verbal communication, organization, and time-management abilities.
- Ability to prioritize multiple tasks, meet deadlines, and maintain confidentiality.
- Customer service orientation with professional demeanor and problem-solving mindset.
- Familiarity with calendar management, travel coordination, and basic bookkeeping or expense reporting is a plus.
- Experience with CRM/ERP systems or office management software is beneficial.
