Harborcrest Group is seeking a proactive and polished Office Administrator in New York, NY. This is a full-time role focused on keeping our office organized, responsive, and efficient, enabling our team to focus on clients and growth.

Responsibility
- Manage front-desk operations, greet visitors, answer phones, and route inquiries with a professional, courteous demeanor.
- Coordinate executives' calendars, schedule meetings, arrange travel, and prepare materials for meetings.
- Prepare, format, and file documents; maintain electronic and physical filing systems to ensure easy retrieval.
- Support procurement and vendor relationships; track office supplies and equipment maintenance.
- Support meeting logistics, events, and onboarding processes; assist with employee orientation and training logistics as needed.
- Maintain CRM and database records with accurate data entry and regular cleanups.
- Prepare routine reports and assist with basic financial tasks such as expense reporting and invoice tracking.
- Ensure a clean, safe, and well-functioning office environment; coordinate with building management for facilities issues.
Qualification
- 2+ years of office administration, executive assistant, or similar experience.
- Proficiency with MS Office and Google Workspace; familiarity with CRM systems is a plus.
- Exceptional written and verbal communication; strong interpersonal skills.
- Outstanding organizational abilities with meticulous attention to detail and multi-tasking capabilities.
- Ability to prioritize tasks, meet deadlines, and work independently in a fast-paced environment.
- Professional demeanor, discretion, and commitment to confidentiality.
- High school diploma required; bachelor’s degree preferred.
- Problem-solving mindset and proactive approach to process improvement.
