NorthBridge Solutions is seeking a proactive and detail-oriented Office Administrator to join our fast-paced Toronto team. This role supports daily operations, scheduling, communications, and project administration to keep the office running smoothly and professionally. As a key member of our operations team, you will coordinate calendars, prepare materials for meetings, manage filing systems, process invoices, and assist with onboarding. You will also serve as a first point of contact for clients and partners, delivering exceptional administrative support with a polished, customer-focused approach.

Responsibility
- Manage daily administrative tasks, including calendar management, travel arrangements, and meeting coordination.
- Prepare agendas, take notes, and distribute action items from team meetings.
- Maintain organized physical and digital filing systems, ensuring data accuracy and confidentiality.
- Process invoices, vendor payments, and expense reports in a timely and accurate manner.
- Support onboarding and offboarding activities, including documentation and system access provisioning.
- Serve as a primary point of contact for clients, suppliers, and internal teams with a professional, responsive demeanor.
- Coordinate office logistics, supplies, facility needs, and equipment maintenance to minimize downtime.
- Assist with basic reporting and data entry in CRM/ERP systems and produce routine operational updates.
Qualification
- 2+ years of experience in office administration or a related support role.
- Proficiency with Microsoft 365 (Word, Excel, Outlook, Teams) and Google Workspace.
- Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
- Excellent written and verbal communication, professionalism, and tact.
- High level of integrity and ability to handle confidential information.
- Experience with onboarding, payroll or invoicing is a plus, but not required.
- High school diploma required; bachelor’s degree preferred.
- Basic familiarity with CRM or ERP systems is advantageous.
