Job description

Gajah Tunggal is seeking an energetic and detail oriented Operational Vehicle Staff to join our fleet operations team in Jakarta Raya. In this role you will track and report vehicle operating costs, fuel usage, and maintenance expenses to help drive cost efficiency and informed decision making across departments. You will work closely with procurement, maintenance, and department teams to ensure accurate cost data and timely processing of vehicle usage requests. You will also gain exposure to fleet analytics, cost allocation, and cross-functional collaboration with the finance and operations teams to ensure accurate budgeting and policy compliance.

The successful candidate will manage requisitions for company vehicle use, ensuring timely approvals, policy compliance, and accurate allocation of vehicles to supported departments. This position offers a hands on opportunity to work with a dynamic operations team, supporting fleet maintenance activities and cost control initiatives to keep our fleet reliable, safe, and compliant with company standards.

Key responsibilities include maintaining internal records, generating regular cost reports, coordinating with service providers, tracking mileage and fuel consumption, and assisting in budgeting for fleet expenditures. You will also support safety and regulatory compliance related to fleet operations, and identify opportunities for process improvements that contribute to overall fleet optimization and sustainability.

Responsibility

  • Track, analyze, and report monthly vehicle operating costs, including fuel, maintenance, insurance, and depreciation
  • Monitor fuel usage and implement efficiency initiatives to reduce waste and costs
  • Process vehicle usage requisitions from departments, ensuring approvals, availability, and policy compliance
  • Maintain accurate vehicle logs, mileage, and service records in the fleet management system
  • Coordinate with maintenance vendors, schedule servicing, and verify work quality and invoices
  • Assist in budgeting for fleet expenditures and prepare management level reports
  • Support safety and regulatory compliance related to fleet operations

Qualification

  • Diploma or bachelor's degree in administration, logistics, business, or a related field
  • Minimum 1-2 years of experience in fleet management, procurement, or administrative support
  • Strong numerical and analytic skills with attention to detail
  • Proficiency with MS Office and basic fleet management or ERP systems
  • Excellent organization, time management, and communication skills in Indonesian and English
  • Knowledge of basic vehicle maintenance concepts and cost accounting is a plus
  • Ability to work independently and as part of a team, proactive problem solver
