The National University of Singapore invites applications for a Programme Operations Assistant to support SCALE (L3P NAP). This contract role is ideal for organized professionals who enjoy coordinating complex programs, driving efficient operations, and supporting academic initiatives with impact.
In this role you will partner with program leads, faculty, student services, and external partners to ensure seamless delivery of SCALE activities. You will coordinate scheduling, events, and travel, manage documentation and reporting, and help maintain data quality for program KPIs. You will also support procurement, budget tracking, and compliance requirements, while delivering exceptional stakeholder experiences.

Responsibility
- Coordinate day-to-day operations for SCALE program initiatives under L3P NAP, ensuring timely execution of activities and adherence to timelines.
- Manage calendars, scheduling of meetings, workshops, and events; arrange logistics, travel, venues, and virtual platforms.
- Monitor program data and KPIs; assist with reporting, dashboards, and sponsor updates.
- Serve as a primary point of contact for internal and external stakeholders, including faculty, students, vendors, and partner organizations.
- Support procurement, budget tracking, and contract administration; process reimbursements and maintain financial records.
- Prepare materials for meetings and events; capture minutes, action items, and maintain organized documentation.
- Support participant recruitment, onboarding, communications, and LMS updates to ensure a positive program experience.
Qualification
- Bachelor’s degree in Education, Administration, Management, or related field; or equivalent combination of education and experience.
- 1-3 years of experience in program operations, project coordination, or academic administration; exposure to education projects is a plus.
- Strong organizational and multitasking skills with meticulous attention to detail.
- Excellent written and verbal communication in English; proficient with Microsoft 365 or Google Workspace and common project tools.
- Ability to work in a fast-paced, deadline-driven environment; proactive, adaptable, and solution-focused.
- Experience coordinating with diverse stakeholders and delivering high-quality customer service.
- Demonstrated data management, reporting, and basic budget tracking capabilities.
