As a Service Order Administrator, you will be a key member of our operations team in Penang, acting as the central point of contact for order processing and customer service. You will collaborate with sales, manufacturing, procurement, and logistics to ensure orders are entered accurately, scheduled on time, and delivered flawlessly. Responsibility
- Process customer service orders from receipt to delivery in the ERP system, ensuring accuracy and timeliness.
- Coordinate with sales, production, and logistics to confirm requirements, deadlines and stock availability.
- Maintain accurate order records, update statuses, and generate key performance metrics for internal dashboards.
- Liaise with customers to resolve inquiries, manage changes, and communicate shipping details and delivery expectations.
- Prepare and organize order documentation, amendments, and acknowledgment to ensure traceability and compliance.
- Support finance with order-related invoicing and billing corrections; resolve discrepancies promptly.
- Monitor working backlog and escalate issues to ensure on-time delivery and customer satisfaction.
- Contribute to process improvements by identifying bottlenecks and proposing practical solutions.
Qualification
- Diploma or degree in Business, Supply Chain, Operations, Engineering or related field.
- Experience in order administration and ERP systems (e.g., SAP, Oracle) and strong MS Excel skills.
- Exceptional attention to detail, data accuracy and problem-solving ability.
- Excellent written and verbal communication skills in English; ability to collaborate across functions.
- Ability to manage multiple tasks in a fast-paced manufacturing environment and meet deadlines.
- Familiarity with shipping, logistics, and documentation; knowledge of import/export is a plus.
- Customer-service oriented mindset with a proactive approach to issue resolution.
